The following booking conditions form the basis of your contract with The Hotel Directory Limited whose registered office is at Western Cottage, 15 West Street, Carshalton, Surrey SM5 2PT and the contract will be effective once full payment has been received and our Confirmation Invoice issued.
1. As competitive accommodation rates have been negotiated and payment for your booking is made in advance by us, full payment is required at the time of booking.
2. Please check your booking request details carefully before confirming your request. If you wish to to change your booking with us an amendment fee of £30 per booking will be made (unless the total value of your booking increases as a result of the amendment) up to 14 days prior to your date of departure. Please note any amendments/changes requested by you after booking has been made must be made to us by telephone on 0870 770 8181 or by e-mail info@thehoteldirectory.co.uk. Amendments/cancellations cannot be made online.
3. In the unlikely event that you have any reason to complain about your accommodation, please communicate this immediately to the hotel management and/ or our agents in North America. If they are unable to resolve your concerns satisfactorily please contact us on Tel 0044 208 254 7770, Fax 0044 208 773 9509, or e-mail info@thehoteldirectory.co.uk. Our offices are open (UK time) from 09.00 - 20.00hrs Mon - Fri, 09.30 - 17.00 Sat, and 10.00 - 16.00 hrs Sun. Failure to observe this procedure or to allow ourselves/hotelier to address the causes of your dissatisfaction will make it very unlikely that we would be able to secure compensation on your behalf.
4. Prices include accommodation, breakfast (where shown), and all local and state taxes, but do not include charges for any resort facilities, health club or sports equipment sometimes levied by coastal hoteliers. We reserve the right to change our prices, however once our Confirmation Invoice has been issued and full payment received, our price is then guaranteed against further surcharge. The Hotel Directory prices normally represent considerable savings over the hotel’s public rates, however during Trade Fairs or major Conventions, or occasionally where hotels offer promotional prices locally, this may not be the case. We regret no refunds can be made in circumstances.
5. Information regarding the facilities and the situation of each hotel is derived from details provided by the hotel management. Your attention is drawn to the fact that hotels can and do remove facilities from time to time for essential repair and maintenance, and that certain facilities such as swimming pools are often regarded as seasonal. The Hotel Directory will endeavour to keep you informed of any alteration or change which may materially affect your enjoyment. There is no standardised rating system for hotels in North America. As such we have used ratings suggested to us by our local agents, and you are advised that ratings criteria can and do vary between countries. Where a particular facility or service is of key importance to you, you should make this known to us at the time of booking but as we have no direct control over the granting of such requests no guarantee can be given that they will be granted, nor compensation paid for the failure of any hotel/supplier to meet such a request. The Hotel Directory acts solely as agents between the guests and the hotel. In the event of the dispute between these parties The Hotel Directory will make every effort to secure a satisfactory solution, but cannot accept responsibility in respect of either party.
6. Force Majeure - The Hotel Directory shall not be liable for any failure to perform the contract which is due to unforeseen circumstances beyond our control (or the control of our suppliers) including, but not limited to; war, the threat of war, riot, civil strife, industrial dispute, natural and nuclear disaster, fire or adverse weather conditions, transport closure or congestion of airports, ports or roads.
7. If you cancel your arrangements after booking, you will incur a 10% cancellation charge. If you cancel 4 - 14 days in advance you will incur a charge of 10% deposit plus cost of 1st nights accommodation at each hotel. Cancellation within 3 days of due arrival at hotel results in a 100% charge. Cancellations made after the arrival date of your first hotel booked are non-refundable. All cancellations must be notified to The Hotel Directory and not to the hotel. You may contact us either by telephone, fax, or e-mail We regret that no refunds can be made for cancellations not made with The Hotel Directory.
8. Travel insurance - it is a condition of booking that you have purchased appropriate travel insurance for all your party, to cover injury,illness, curtailment, cancellation charges and any third party liability. Failure to do so could invalidate any complaint made by you as well as incur you in considerable financial cost whilst overseas. PRICE PROMISE - We are confident that the value of our hotel rates is second to none. That is why we are pleased to make this price promise: If you are able to secure and book identical hotel arrangements at a lower price 14 days or more prior to departure for the hotel, we will either match that price or give you a full refund.
